Therapy Notebook Privacy Policy

Effective date: July 5, 2026

This Privacy Policy explains how the Therapy Notebook iPad application handles information. Therapy Notebook is provided by Alper Çuhadaroğlu and is designed to help mental health professionals organize client and session notes on their own Apple devices.

For privacy-related questions, contact: therapynotebook.support@gmail.com

1. Information Processed by the App

Therapy Notebook may process information that users choose to enter, including:

  • Client real names or code names
  • Age and presenting concerns
  • Clinical summaries
  • Folders and session schedules
  • Session dates and durations
  • Reminders
  • Handwritten notes and drawings
  • Keyboard notes and therapy template content
  • Photos and attachments
  • App preferences and settings

The app lock passcode is stored securely in the device Keychain.

2. Local Data Storage

App data is stored by default in the app’s private storage area on the user’s device.

Therapy Notebook does not operate an external account system, analytics or tracking SDK, or developer-controlled server that receives client records or session content. The app provider does not have direct access to information stored on the user’s device.

3. iCloud Backup and Synchronization

iCloud backup is optional and disabled by default.

If the user enables iCloud backup, app data and photo attachments are stored in the user’s private iCloud storage. This information may synchronize between devices signed in to the same iCloud account.

iCloud functionality depends on the user being signed in to iCloud, having iCloud Drive enabled, and maintaining sufficient storage and network access. The app provider does not have direct access to the user’s private iCloud content.

4. Apple Calendar Integration

Apple Calendar integration is optional.

If enabled, Therapy Notebook may write the selected client name or code name, together with session date, time, duration, and recurrence information, to Apple Calendar. Calendar access can be disabled through the device’s privacy settings.

Calendar records created by the app remain subject to the user’s Apple Calendar and iCloud Calendar settings.

5. Photos, Camera, and Attachments

Therapy Notebook accesses the photo library or camera only when the user chooses to add a photo or attachment.

Selected items are copied into the app’s storage for use within client records. If iCloud backup is enabled, these attachments may also be stored in the user’s private iCloud storage.

6. Subscriptions and Payments

Subscriptions and in-app purchases are processed by Apple through StoreKit and the App Store.

The app provider does not receive or store payment card numbers, bank account details, or Apple Account passwords. Apple may retain subscription and transaction information according to its own terms and privacy practices.

7. How Information Is Used

Information processed by Therapy Notebook is used only to provide app functionality, including:

  • Creating and organizing client records
  • Maintaining session histories
  • Saving handwritten and keyboard notes
  • Using therapy note templates
  • Managing session schedules and reminders
  • Synchronizing with Apple Calendar
  • Creating PDF exports
  • Preserving app preferences
  • Providing optional iCloud backup, restore, and synchronization
  • Verifying Premium subscription access

8. Advertising, Tracking, and Data Sales

Therapy Notebook does not use client or session information for:

  • Advertising
  • Behavioral tracking
  • Profiling
  • Third-party marketing
  • Selling or renting personal information
  • Third-party analytics

The app does not include advertising SDKs or cross-app tracking technologies.

9. Sharing with Third Parties

Therapy Notebook does not share user-created client or session content with advertising networks, data brokers, analytics providers, or marketing companies.

Information may be processed through Apple services selected by the user, including iCloud, Apple Calendar, Photos, Camera, Keychain, StoreKit, and the App Store. These services are governed by Apple’s own terms and privacy policies.

10. Data Retention and Deletion

Records may remain on the device until the user:

  • Deletes individual records
  • Uses the in-app “Delete Data” action
  • Removes the app from the device

If iCloud backup is enabled, the “Delete Data” action also attempts to remove the app’s iCloud backup files.

Records written to Apple Calendar must be managed separately through Apple Calendar when necessary. Subscription transactions retained by Apple must be managed through the user’s Apple Account and App Store subscription settings.

Because the app provider has no direct access to the user’s device or private iCloud storage, the provider cannot view, correct, retrieve, or delete this information on the user’s behalf.

11. Data Security

Therapy Notebook uses security mechanisms provided by iPadOS and Apple services. The app may also provide Face ID, Touch ID, or an app passcode for access protection.

However, no storage or security method can guarantee absolute security or uninterrupted data protection. Users are responsible for protecting:

  • Their device passcode
  • Their Apple Account and iCloud account
  • The app lock
  • Exported PDF files
  • Calendar records
  • Backups and shared files

Users are also responsible for processing client information in accordance with applicable law, professional ethics, confidentiality obligations, and any required notice or consent procedures.

12. Children’s Privacy

Therapy Notebook is intended for use by mental health professionals and is not designed for use by children.

The app provider does not knowingly operate a service intended to collect personal information directly from children.

13. International Use

Users are responsible for determining whether their use of Therapy Notebook and their processing of client information comply with the laws, professional rules, and confidentiality requirements applicable in their country or region.

14. Changes to This Privacy Policy

This Privacy Policy may be updated if the app’s features or data practices change.

The revised effective date will be shown at the top of this page. Material changes may also be announced through the app or its App Store information.
